Term billing · Australia
Keep the software that runs your classes. TermRoll collects the money.
TermRoll handles term fees, sibling discounts, direct debit, makeup credits and re-enrolment. Every invoice line shows how it was worked out.
From $39 a month, plus 0.7% of what TermRoll collects, capped at $50 a month.
How it was worked out
Mia — Saturday Tiny Tots
Term price $320.00 × 6 of 9 weeks remaining × 50% 3rd-child discount
Joined in week 4 of 9
$106.66
Every figure in this example is worked out as the page loads, by the billing classes that price a real invoice: the discounts, the odd cent, the GST and the instalments.
Sits beside your studio software
Keep the software you’ve got
Keep the system that holds your families, classes and history. TermRoll sits beside it and takes over the money.
What TermRoll does
- Prices your term from your own class list, with the GST shown inside it
- Applies your sibling ladder and family cap to every child, every term
- Charges a mid-term joiner pro-rata, to the week, and credits a leaver the same way by default
- Collects by direct debit or card, upfront or by instalments, and retries what bounces
- Handles makeup credits, concert and exam fees, and the re-enrolment chase
What it doesn’t
- No scheduling. Keep the timetable you already run.
- No attendance beyond what a makeup credit needs
- No payroll, no rosters, no teacher pay runs
- No website builder, no marketing suite, no app to make parents install
Keep Jackrabbit, Class4Kids or MyMusicStaff for the teaching. TermRoll does the billing.
Five billing jobs
Five jobs TermRoll takes over each term
01
Sibling discounts, applied every term
Set your ladder once: second child 10%, third child 50%, a family cap if you use one. Every child in every class is charged against it, every term. Change a family’s enrolment and the discount changes with it, because a child’s rung is their birth order rather than the order you enrolled them in.
02
A mid-term start, charged pro-rata
A child who joins in week 4 pays for the weeks that are left, and one who leaves in week 7 is credited the same way by default. The invoice arrives already right. Pro-rata comes first, then your discounts, in that order every term, so the same family always gets the same answer.
03
Makeup credits parents book themselves
Mark a child absent and the credit is issued with an expiry, then the parent books it themselves from a link. Up to 3 a term, each good until the term ends.
04
Concert and exam money on the same statement
Costumes, tickets, gradings and AMEB entries go on the statement the term fees are already on, so concert season stays one set of books.
05
Re-enrolment invites, reminders and last calls
Launch the campaign and TermRoll sends the invite that day, a reminder 7 days later and a last call at 14 days. It stops writing to a family once they re-enrol.
A worked example

Term 3 at a dance studio. Three children, one of whom joined in week 4 of 9. Your studio’s fees are quoted GST inclusive, the way you’d quote them to a parent, so the tax sits inside the total. It’s priced by the billing code as the page loads.

A worked example, not a real family. The odd cent rides on the first instalment.
One family, one balance, three children
Your parents get one statement instead of three invoices to reconcile: everything owed, everything paid, and the GST inside all of it. They reach it from a link, with no password, no account to create and no app to install.
- Owing now
- $476.40
- the term less what has cleared
- Paid
- $238.26
- 3 weekly debits have cleared
- GST on your invoices
- $64.97
- inside everything your studio has invoiced, in whole cents
How they pay
Direct debit · mandate confirmed
Instalment 1 of 9 is $79.46, and the cents that won’t divide evenly ride on it rather than going missing. A payment that is still clearing counts as pending until it lands, so the paid figure only counts money that has cleared.
When a direct debit bounces
The debit bounced. We will try it again in a few days without troubling anybody.
We have asked the parent to update how they pay, with a link they can use without a password.
The debit bounced, our retry bounced, and the parent has not put it right. This one needs a conversation.
It walks itself down that ladder: a retry, then a link for the parent to fix their own details, and only then you. By the time it reaches you it is one family and one conversation.
Three steps
What it takes to get started
Send what you already have, and see the whole term priced before any family hears from us.
01
Send your class list and this term’s fees
A spreadsheet, or an export from the software you already run. We read it, and if anything is missing we tell you before a single record is written.
02
We run your term against it, before anyone is emailed
Every family, every discount and every pro-rata line, next to what you invoiced last term. You see the whole run while it is still only on our screen.
03
You check it, then we turn it on
Parents get one link each, and nobody installs anything. Your timetable, your classes and your studio software carry on exactly as they are.

Worth doing on the back of an envelope
Take your family count, times your average term fee, times the share who quietly don’t come back. 40 families at $320.00 a term, with 1 in 5 not coming back, is $2,560.00 a term. TermRoll Solo is $39 a month, and 0.7% of what it collects, capped at $50.
Do the sum with your numbers, not ours.
Switching
Switch without breaking a term
We prove your first invoice run against the numbers you already sent parents, before a single family is emailed. If the figures don’t match what you invoiced, you don’t switch.
TermRoll has no customers yet. The first 50 studios get a migration done by the founder, who brings your history across and checks it against your own books.
The TermRoll template
The template above, filled in — one row per child per class.
Class4Kids
Bookings export, one row per booking.
Jackrabbit
Enrollment export, one row per class enrollment.
MyMusicStaff
Student and lesson export, one row per lesson.
Your families, students, classes and this term’s fees come across. If the importer can’t read a file it says so, rather than writing half a studio.
Questions
Questions owners ask first
I already pay for Jackrabbit or Class4Kids. Do I have to leave it?
No. Keep it. TermRoll doesn’t do scheduling, attendance, payroll or timetables. It sits beside whatever you teach out of and takes over one thing: your term fees, discounts, direct debit, event money and re-enrolment.
Does it connect to Xero?
Yes, to Xero. Connect it in Settings and map your accounts. Each morning TermRoll posts the previous day as one journal: fees, GST, payments, credits and TermRoll's fee. Each invoice stays in TermRoll. There's no MYOB connection.
Is the GST right?
Your term fees are quoted GST inclusive, the way you already quote them. Every invoice shows how much of the total was GST, in whole cents, at 10%. If your studio isn't registered for GST, set that once in your studio settings and no invoice charges it.
How do families pay?
By direct debit or a card on file, either the term upfront or in weekly instalments worked out from the term total. A failed debit retries itself, then the parent gets a link to fix their own details. Only the handful automation can’t fix reaches your desk.
Do parents have to create an account?
No. Each link a family gets, for a statement, a payment, a makeup booking or re-enrolment, is addressed to that family and does one job. Nobody has to remember a password.
What happens to a student who joins or leaves mid-term?
A week-4 joiner is charged pro-rata for the weeks that are left, to the week, and a student who withdraws is credited the same way by default. A missed class becomes a makeup credit with the expiry you set, bookable by the parent, and one queue shows everything the studio still owes.
We’ve got separated parents. Can two households split one family’s fees?
Yes. A family can have two guardians, and you set the share each one pays, such as 50% each. Each guardian pays their share by their own direct debit or card. The children stay in one family, so the sibling discount still applies.
We run AMEB exams and concerts. Where does that money go?
On the same family statement as your term fees. Candidate, grade and session for an AMEB entry; costumes, tickets and comp entries for a concert. Parents get reminded before the entry deadline.
Who else is using it?
Nobody yet. TermRoll hasn’t launched. The first 50 studios get a founder-led migration.
