Terms of use

Last updated 7 October 2026

Who these terms are between

These terms are between TermRoll (“we”) and the studio that creates a TermRoll account (“you”). By creating an account you agree to them on your studio’s behalf. Parents who pay through TermRoll don’t have an account and don’t agree to these terms; our privacy policy explains how we handle their information.

What TermRoll does

TermRoll works out your term fees, sends invoices and collects payments from the families at your studio. It sits beside the software you teach out of: it doesn’t do your timetable, attendance or payroll.

Your account

  • Give us accurate details and keep your sign-in details to yourself.
  • You’re responsible for what happens under your account, including what the staff you give a seat to do.
  • Tell us straight away if you think someone else has got into your account.

Your families’ information

You collect your families’ details, so you’re responsible for telling families what you collect and why, and for having their permission where the law needs it. Only record what you need to bill them. Take particular care with notes about a child, and don’t record health details unless you need them and the family has agreed.

We handle that information only to run TermRoll for you, as our privacy policy describes.

Payments

  • Payments are processed by Stripe. To take payments you connect a Stripe account and agree to Stripe’s terms, including the Stripe Connected Account Agreement.
  • Families’ payments go to your Stripe account, less our take-rate and Stripe’s own fees.
  • When a family pays by direct debit, they authorise it under Stripe’s Direct Debit Request service agreement, which is shown to them when they set it up.
  • Your refund and credit policies are yours. TermRoll lets you credit a family or refund a payment; deciding when to is up to you.

Plans and what they cost

  • Plans start from $39 a month. Your plan’s price and take-rate are shown on our pricing and in your settings.
  • When you start your first plan, your card is taken at checkout and the plan includes a 15-day trial. Unless you cancel before the trial ends, your first charge is when that trial ends; a later plan is charged from the day it starts.
  • The take-rate applies only to money TermRoll collects for you, and stops at your plan’s monthly cap.
  • Plans are month to month, with no setup fee and no contract. You can cancel at any time.
  • If we change a plan’s price, we’ll tell you at least 30 days before it applies to you.

Using TermRoll fairly

Don’t use TermRoll to break the law, to charge anybody something they haven’t agreed to, to send messages families haven’t asked for, or to get into another studio’s information. Don’t try to break, overload or copy the service.

Changes to TermRoll

We’ll keep improving TermRoll, which sometimes means changing or removing a feature. If a change takes away something you rely on, we’ll tell you before it happens.

Our responsibility

Nothing in these terms excludes, restricts or changes any right or remedy you have under the Australian Consumer Law that can’t lawfully be excluded.

Apart from those rights, and to the extent the law allows, we’re not responsible for losses you couldn’t reasonably have expected, and our total responsibility to you is limited to the fees you paid us in the 12 months before the problem arose.

Ending your account

You can stop using TermRoll at any time. We may suspend or close an account that breaks these terms, and we’ll tell you why unless the law prevents us. When an account closes, we keep invoices and payment records for as long as Australian tax law requires.

The law that applies

These terms are governed by Australian law.

Changes to these terms and getting in touch

If we change these terms, we’ll update this page and the date at the top, and tell you directly before a significant change applies to you.
